Job Role


Bristol, Gloucestershire Somerset and Wiltshire Community Rehabilitation Division (BGSW) is part of the KSS CRC Probation. We provide a broad range of probation services for adult offenders on community orders or licenses. We focus on quality of practice to reduce re-offending, improve the safety of the communities we serve and improve the life chances of those within the Bristol, Gloucestershire, Somerset and Wiltshire Community Rehabilitation Division (BGSW) criminal justice system.

The role involves providing a professional reception service to all of our visitors both face to face and on the telephone. The role also includes providing a comprehensive administrative service, administering local finances and dealing with all health and safety matters.

Key Responsibilities


Receive all visitors to the building including staff, service users and contractors, ensuring contractors are supervised as required whilst on site, signed in appropriately and advised in relation to health, safety and security procedures
Process incoming and outgoing telephone calls, taking messages and answering queries as appropriate
Assist in maintaining Health & Safety and security aspects of the premises including the testing of alarms, building evacuations, record and monitor use of security entry fob system, monitor first aid boxes and drug testing kits ordering stock as required
Liaise on building issues as required e.g. liaison with Facilities Management Helpdesk
Undertake inputting and extracting of data on the computer system, pro actively obtaining information from service users to ensure up to date and accurate recording.
Take responsibility for the booking of meeting rooms using appropriate electronic systems and support the servicing of meeting rooms.
Contribute to the maintenance of office equipment
Process in coming and outgoing post including receiving deliveries and facilitating collections from the office
Facilitate service users attendance on daytime accredited programmes and groups
Take responsibility for maintaining the waiting area including ensuring information is up to date
Supporting where possible in relation to fire marshalling responsibilities and or first aiding.



Skills and Experience


To provide a comprehensive administrative service in relation to facilities, health and safety and local finances 
Excellent interpersonal skills, able to deal effectively and diplomatically with a wide range of people in a pro social way
To provide a professional Reception service to the relevant building, by being the first point of contact for visitors and telephone callers
Computer skills for inputting and extracting data from information systems  
Basic knowledge of Health & Safety in an office environment   
Able to prioritise work effectively, be organised and have an ability to multi-task    
Numerate and literate with the ability to handle and reconcile cash
Proven ability to work effectively as part of a team

Additional Information


Salary:  £19,977 – £22,257
Location: Chippenham
Hours of work: 37 Hours per week
